1. Administrative Officer

The officer will work with finance officer on activities related to budgets for new funding, project/project preparation and submissions, progress reports, developing and planning budgets for each project strategic area and assists in forecasting future resource needs

The duties and responsibilities of the officer will entail: –

  • Track expenditure and prepare timely reports for submission to Project Manager, PIs, Partners and Donor.
  • Maintaining an inventory register;
  • Ensuring assets are insured;
  • Ensuring maintenance of office equipment, facilities and assets,
  • Generating reports on operations, maintenance and utilization of equipment, assets and facilities.
  • Recommend approvals of project operating invoices and vouchers for payment.
  • Liaise with finance to ensure funds are available before processing LPOs and with relevant departments to ensure Request for Purchases is completed for timely procurement and delivery of project supplies.
  • Maintaining an inventory register and conduct unannounced inventories inspection to ensure all assets are available and maintained per schedule.
  • Manage office transport system, track vehicle and motorbike expenses and highlight concerns
  • Liaise with Human Resource on hiring and orientation of project staff.
  • Manage timesheet tracker per project and maintain leave schedules.
  • Coordinate archiving of project files.
  • Coordinate project meetings and take minutes.
  • Facilitate processing of travel requisitions.
  • Coordinate clearance of project(s) visitors and liaise with relevant departments for clearance, work permits, hotel reservations, ground transportation and office space.
  • Prepare welcome packet for visiting scientists.

  • Bachelor’s Degree in Public Administration, Political Science, Business Administration/ Accounting/ Finance or its equivalent qualification from a recognized institution;

2. Monitoring & Evaluation Officer

Job Summary: 

The position is responsible for providing support to programme/project implementation in monitoring and measuring the impact of programs and activities; communicating M&E information, development of monitoring & evaluation tools, data collection, analysis and interpretation, coordination and follow-up on all field monitoring and evaluation activities, and reporting. The job involves ensuring proper planning, monitoring, evaluation, and learning initiatives resulting to better information for decision-making and strategic planning at the programme and organizational level.

Job Description

  • Effective roll-out of MEAL collection and reporting systems to all staff and partners through training, site visits, manuals, and other technical support as needed.
  • Develop and oversee the implementation of appropriate data collection and analysis instruments and methodologies.
  • Maintain donor and/or paper-based donor Management Information System (MIS) for tracking and reporting all quantitative data and information including reporting on the organization’s strategic pillar indicators.
  • Analyze MEAL data and produce reports, factsheets with useful statistical analysis and presentation (charts, tables, histograms, box plots) as necessary in a timely manner.
  • Measure and report on qualitative and quantitative input, process, output, outcome, impact, objective, and goal-level performance indicators for all projects.
  • Represent the organization in different forums on MEAL related issues when required.
  • Contribute to proactive dissemination and use of knowledge gained through MEAL activities among the organizational staff.
  • Provide timely information around project successes to be scaled up as well as challenges to allow ‘course correction’ throughout life of the project.
  • Capacity build organizational staff, partners and contractors on beneficiary accountability.
  • Identify the MEAL training needs of team members and discuss plans with the Programme Manager for internal training.
  • Support field compilation of the quarterly and annual donor reports ensuring data and information reported is of high quality.

Qualifications & Experience

  • Bachelor’s degree in any of the following fields: Economics, Statistics, Commerce, Business Management/Administration, Project Planning and Management, Social Sciences, Actuarial Science or equivalent qualification from a recognized institution.
  • At least two-year experience in planning, monitoring & evaluation especially in relevant or related field.
  • Strong attention to detail and commitment to data accuracy and integrity.
  • Excellent communication skills, both written and verbal.
  • Passion for humanitarian work.

Behavioural Competencies:

  • Professionalism: Two-year significant experience in Monitoring, Evaluation, Accountability and Learning. Experience in grant cycles, strong analytical, problem solving and drafting skills is an added advantage.
  • Communication: Strong interpersonal and communication (written, spoken and presentational) skills.
  • Proficiency in writing proposal and reports in English.
  • Technology Awareness: Fully proficient computer skills and ability to use relevant software applications, in particular information databases, internet/intranet services, library sources, etc.
  • Teamwork: Ability to establish and maintain effective working relations with people of different national and cultural backgrounds with respect for diversity.
  • Managing Performance: Ability to supervise, coach, mentor and develop staff as required.

3. Programs Officer

The Program Officer works closely with the Chief Operating Officer and Program Team to ensure that standards and
procedures set out in relevant NA documents are followed
across the program portfolio and provide support in all areas of
Program team’s work as needed.

Key Responsibilities:

  • Assists Senior Management Team in coordinating and
    preparing for meetings, events, and presentations.
    Responsibilities include scheduling meetings, booking
    rooms, taking notes, preparing slides, and summarizing
    meeting results;
  • Make Program related travel arrangements, assist in
    organising travel bookings, visas, accommodation and
    logistics as requested;
  • Liaise with contractors and coordinate work in line with
    approved Terms of Reference (TOR’s);
  • Logistics and support to arrange regional lea
  • Assist Program Effectiveness Team to maintain project files
    in line with AOP protocols and standards;
  • Update and maintain Project databases as required;
  • Assist Senior Managers to ensure Program documents are
    filed electronically in accordance with AOP policy.
  • Work with Program team to ensure learning from M&E is
    shared widely and incorporated into future workplans.

Qualifications & Experience

  • Two years relevant work experience desirable but open for
    university graduates to apply;
    • Experience in project/policy administration in the not for profit
    or corporate sector;
    • Proficient using Microsoft products and other information
    management and IT communications platforms;
    • A high level of written and oral communication skill
    • Excellent attention to details
